Football Club League Fixture Secretary 

Full Job Description

We are looking for a new league fixture secretary for the 24/25 season and beyond. We are seeking to expand our team and require a dynamic, skilled person who ideally has knowledge and a passion for football, both in the  youth and adult section.

The Role

To lead the Football Operations & Administration Section throughout the football calendar for the club. This will look at working across all the senior teams at Bracknell Town FC. The teams included here will be the 1st Team, B Team, Academy, U18’s, U21 Womens and Womens 1st team. All applicants will need to demonstrate excellent attention to detail, be well organised along with the ability to think on their feet and problem solve.

Work Flexibility

The position will involve working irregular hours; evenings, weekends and bank holidays)

Responsibilities

Fixtures

  • To ensure effective administrative arrangements are in place for the Club to demonstrate compliance with externally applied rules and regulations.
  • Act as lead administrator for the club including fixture details, transport coordination and parental communication.
  • Liaise with any Management Team regarding club fixture details.
  • Attend all home & away fixtures for BTFC 1st team and act as matchday coordinator for the club
  • Attend home BTFC B team and U18 games and act as matchday coordinator for the club when 1st team fixtures don’t clash.
  • To be the point of contact for any parents regarding clubqueries.

Registrations

  • Manage registrations for all players with the appropriate team forms or as appropriate.
  • Assist in the production of the required documentation for International Clearance data, undertaken in liaison with the Head of Football Administration and Football Operations and Administration Manager.
  • Ensure each player entering the club structure has been presented with the relevant induction pack before their arrival.
  • Coordinate the end of season procedure.

Administration

  • Maintain all player files.
  • Ensure all required systems always have correct information.
  • Complete results procedures for all required teams on all portals
  • Make amendments to data when necessary.
  • Create accounts for players and staff and update when necessary.
  • Provide support to new users.
  • Ensure all fixtures are displayed and recorded correctly or are removed.
  • Communicate all club activities, via email or schedules
  • Minute taking as required.

Additional Duties

  • Assist any club manager with developing reports in preparation for meetings as required.
  • Keep up to date with knowledge of current legislation and policies, communicating key changes to staff as appropriate.
  • Any other duties requested by the club when required.

Self-Development

  • Monitor own CPD to ensure knowledge is updated and maintained.

PERSON SPECIFICATION

  • Previous experience working within a Football Administration Department is desirable but not essential
  • Able to multitask and work collaboratively with multi- disciplines
  • Excellent written and verbal communication skills.
  • Able to absorb complex information and present to others in an accessible manner
  • Interpersonal skills, to work and build relationships with a range of people holding different views
  • Organisation skills, to track priorities and work to deadlines
  • The ability to work alone, using your initiative, and also in a team
  • A keen eye for detail in order to keep accurate records
  • A flexible and adaptable approach, in order to respond to shifting priorities and a rapidly evolving environment
  • An understanding of confidentiality as you will be managing sensitive information

CRIMINAL RECORD CHECK REQUIREMENT

  • This role will require an Enhanced DBS Check

Job Type: 

  • Through the football season calendar. From late June to mid May

Pay:

  •  £15.00 per hour. Weekly Timesheet Provided. Estimated work to be 10/15hours a week.

Schedule:

  • Weekends required in football season
  • Flexible as job requires on timelines

Experience:

  • One or more years experience in the role (Desirable)

Requirements

  • Enhanced DBS
  • Full UK Driving Licence
